The Allworx Auto Attendants, Call Queues and Message Center support custom recordings. Each Auto Attendant has its own Day Mode Greeting, Night Mode Greeting, and Custom Message. Each Call Queue has its own Greeting and Status Message. Each User of the Message Center may have custom Name, Greeting and/or Announcement recordings. These recordings can be managed using the telephone or by transferring files to/from the Allworx.
Telephone Management of Custom Recordings
Auto Attendants - To manage your custom Auto Attendant recordings dial the extension of the Auto Attendant you wish to manage. When the Auto Attendant answers dial #9. Enter the password for the System Administrator followed by #. Follow the menu prompts to manage the Auto Attendant recordings. NOTE: For users of Allworx software version 7.5 you will nned to use the message center (404). See: Message Center greetings
Call Queues - To manage your custom Call Queue recordings dial extension 400. When the Auto Attendant answers dial #9. Enter the password for the System Administrator followed by #. Message Center - Users manage their own custom Message Center recordings by dialing 6 followed by their extension to access the Message Center. They then follow prompts to manage their Name and Greeting/Announcement recordings.
Dual Language Support - If your system is configured to support Dual Languages, the custom recordings can be used for both the Primary and Secondary Languages. After the Auto Attendant answers the call, if necessary change to the desired language by dialing ##, then dial #9 and proceed to manage recordings as described above.
File Management of Custom Recordings
The custom recordings played by each Auto Attendant and Call Queue as well as each user's Message Center (name, greetings, announcements) can be saved and updated by transferring sound files between the Allworx and your PC. The format of the sound files MUST be Telephony, raw, mu-law (u-law), mono, 8-bits per sample, 8KHz sample rate.
File Naming Conventions:
Auto Attendant recordings: aa#x.snd
'#' is the Auto Attendant number (1-9) corresponding to Attendants at extensions 431-439, and 'x' is replaced with the Greeting number ('0' thru '9'), or 'c' for Custom Message. (Use '0' for the Open Greeting, '1' Closed Greeting). For example, the filename for Greeting 0 (Open) for Auto Attendant 432 is "aa20.snd".
Call Queue recordings: cq#x.snd
'#' is the Call Queue number 0-9, and 'x' is replaced with 'g' for Greeting, or 's' for Status Message. For example, the filename for the Status Message for Call Queue 3 is "cq3s.snd".
Message Center Name recordings: vm_u_n.snd
'u' is the username. For example, the file name for the Message Center name recording for user 'test' is "vm_test_n.snd".
Message Center Greeting and Announcement recordings: vm_u_#x.snd
'u' is the username, and 'x' is replaced with 'g' for Greeting, or 'a' for Announcement. '#' is type of Greeting/Announcement:
For example, the filename for the In Office greeting for user 'test' is "vm_test_1g.snd".
Music On Hold recordings: moh_n_m.snd
'n' is a number between 1 and 30. 'm' can be a user defined string that uniquely identifies the file. Valid characters include ('A'-'Z'), ('a'-'z'), ('0'-'9') and underscore.
For example, the file name could be "moh_1_sales.snd" or "moh_2_service.snd".
To save the current recordings used by the system to your PC, first Export the files, then Transfer them to your PC. To put new recordings into the system, first Transfer them from your PC, then Load them into the system.

- Transfer - Use FTP to transfer files to/from the Allworx. If your browser supports launching an FTP program, use this link ftp://192.168.1.xxx/prompts, otherwise you must manually start an FTP program to connect to 192.168.1.222 (any username/password, then cd to 'prompts' and use binary transfer mode). The FTP program must be running on a PC connected to the Allworx LAN. We recommend using Filezilla.
- Export - Click the 'Export' button to save the current recordings as files that can be transferred to your PC. Only recordings that you have changed from the system defaults will be exported to files.
- Load - Click the 'Load' button to use new files that you have transferred to the system. You can verify the results by following the instructions above for Telephone Management of Custom Recordings.
To load or export custom recordings:
- Click on "Home"
- Under phone system Click "Auto Attendants"
- Then click on “Manage” the custom recordings played by the Auto Attendants
